Conference Assistants (CA) will gain experience in conference management. CAs will be front line in serving conferees and making their stay enjoyable and productive.

Responsibilities

A. Staff
     - Attend all staff meetings
     - Attend and participate in all conference staff training and team builders
     - Take part in evaluations and provide constructive feedback to other staff
     - Have good working relations with all staff members and be a team player!
     - If you have a concern, take it to the person it involves and keep your supervisors updated on any staff issues
     - Be flexible with schedules. Allow 2 weeks notice for time off requests and you will need to get coverage for front desk shifts.
     - HAVE FUN! Take advantage of opportunities to know yourself and others better
     - Adhere to all University Code of Conduct and Standards of Residence

 

B. Administrative
     - Work 20 hours per week at the front desk
     - During desk hours and as needed outside of desk hours, assist with check-ins, checkouts, issuing keys, room assignments
and registration
     - Take messages and distribute them to guests
     - Assist in the preparation of conference information materials, e.g., maps, rosters, information sheets and bulletin boards 
     - Provide written damage reports to CM/ACM
     - Inventory each room before a group's arrival and after they depart
     - Serve on-call to handle questions, problems and emergencies
     - Follow procedures at the desk, e.g., refunds, keys, logging information
     - Keep conference materials organized and turn all paperwork in on time
     - If you are hanging out at the front desk, be prepared to help out

 

C. Maintenance & Custodial
     - Lower/raise lofted beds at beginning and end of conference season
     - Assist in preparation of rooms by general cleaning, emptying trash, and pulling linen and placing linen when appropriate
     - Identify custodial and maintenance concerns for each room and all public areas
     - Report maintenance and custodial issues to the proper source(s)
     - Be timely and thorough in follow-up
     - Know the layout of the building and where the fire system, breakers, sprinkler shut-off and other important equipment are
located. Know how to operate all equipment
     - Participate in “all hands on deck"
     - Set up meeting spaces within the hall which includes setting up tables and chairs and putting tables and chairs and putting 
tables and chairs away when groups are finished
     - Straightening up furniture, etc. in public areas

 

D. Public Relations
     - Serve as an information source to conferees
     - Be knowledgeable, visible and accessible
     - Present a positive and professional image of the University at all times
     - Assist and cooperate with each individual group’s conference leader/coordinator
     - Maintain a positive and responsive attitude
     - Take initiative in keeping conferees informed; anticipate their needs
     - Provide excellent customer service skills to conferees at all times

 

Perform other duties as assigned that pertain to staff, buildings, and conferences

SPECIAL NOTE
- Conference Staff must be able to work weekends
- Staff members are paid at 30 hours per week; the actual number of hours per week will fluctuate based on the needs of the building 
- Conference staff must be highly attentive to detail and thorough
- Must attend all staff opener in April (date TBD)

6. Must maintain a positive and professional attitude
 
EMPLOYMENT STIPULATIONS

- CAs may take one class each session and are responsible for tuition. If classes are to be taken, candidate must possess a 2.5 cum GPA after spring semester.

- A current NAU parking sticker for residence hall lots must be purchased by the employee.  A $5 charge will be assessed for any zone changes on existing sticker.

- Outside employment not permitted.

 

EMPLOYMENT DATES & REMUNERATION

- Exact employment dates and stipend amounts will be indicated when a contract is offered

- Start date: Could possibly be as early as May 13  End date: could be as late as August 13

- Dates will vary depending on conference schedule

- Conference Assistants will receive a stipend of approximately $1300 (dependent on actual dates of employment), a single residence hall room in a conference hall and a meal plan
