The window areas of the Office of the Registrar, Student Financial Aid Office, and Bursar’s Office will be open for any enrollment needs. Regular business hours are Monday – Friday from 8:00 a.m. – 5:00 p.m.

ENROLLMENT PROCEDURES

Who May Enroll

1.      Early Enrollment, October 2, 2009 - November 18, 2009, is available to CONTINUING STUDENTS ONLY. Early enrollment is the best method of enrollment for all eligible students. Students may participate in early enrollment based on their academic level. Individual students’ early enrollment date/time will be communicated via dana e-mail and is also available on LOUIE.

2.      Open Enrollment and drop/add beginning November 19, 2009 is available to continuing students, new transfer students, and new graduate students.

3.      New freshman students (less than 13 earned college credits after high school) attend a two-day orientation session prior to enrollment for Spring 2010. New transfer students (greater than 12 earned college credits after high school attend a one-day orientation session prior to enrollment for Spring 2010. More information about New Student Orientation can be obtained at http://www4.nau.edu/nsp/Orientation.

Steps to Enroll

1.      View your current Class Schedule on LOUIE.

2.      Select an advisor. See information on Where to Find an Advisor. It may be necessary to make an appointment with your advisor.

3.      Clear all student holds. Log on to LOUIE and navigate to Student Center.

4.      Meet with your advisor to evaluate what classes you need for your degree program, checking LOUIE for closed or cancelled classes. Have your advisor activate you in the computer system (remove your advising hold) if required.

5.      Log on to LOUIE at http://peoplesoft.nau.edu to add your selected classes or submit an Enrollment (Add)/Drop form for processing at the Registrar’s Office, Gateway Student Success Center, or to your College Advisement Center.

6.      Using LOUIE, print a copy of your schedule through Student Center or pick up your Schedule of Classes/Billing Statement before leaving the enrollment location.

7.      Pay your Fees.

o        A late enrollment fee of $50.00 will be assessed effective January 12, 2010, for non-enrolled students regardless of financial aid status.

8.      When auditing a class, complete an override authorization form with signature and department stamp. Submit form for processing to the Registrar’s Office.

Steps to Enroll(Add)/Drop

  • On-line:

1.      Access LOUIE to create or change your class schedule using Student Center

2.      View Class Schedule/Billing Statement on LOUIE.

3.      Pay Fees on-line on LOUIE through Student Center

Or In Person:

1.      Obtain an Enrollment(Add)/Drop form which may be found at:

§         http://www.nau.edu/registrar (Click on Forms)

§         At the Registrar’s Office enrollment windows (Gammage Lobby)

§         Your Department/Advisement Center

2.      Complete your Enrollment (Add/Drop) Form and submit in-person to the Registrar’s Office or other enrollment location.

§         For Enrollments or Drops, check your Class Schedule after processing to make sure it has been updated.

3.      Pick up your Class Schedule/Billing Statement before leaving the enrollment location.

4.      Pay Fees through any one of these means:

§         In person at the Bursar’s Office (Gammage Lobby)

§         Paying with a credit card by calling (928) 523-1122

5.      When auditing a class, complete an Override Authorization Audit/Class Links/Out of Career Form with signature and department stamp. To obtain a form visit http://www.nau.edu/registrar and click on Forms.


NOTE: If you wish to drop a class, you must follow established procedures. NON-ATTENDANCE IN A CLASS DOES NOT CONSTITUTE AN OFFICIAL DROP.

Deadlines

  • A student enrolling for the term may require activation in the system by an advisor.
  • Advisor’s signature and department stamps are not required on drop request forms prior to “Drop With A “W” Deadline”.
  • If instructors or advisors are not available to sign overrides or provide permission numbers, students are to report to the authorized department representative.
  • When changing from Audit to Credit or Credit to Audit, instructor’s signature and department stamp are required prior to deadline to enroll.

For Flagstaff Mountain Students Who Enroll After December 1, 2009 PAYMENT IN FULL MUST BE MADE THE SAME DAY THE STUDENT ENROLLS.  Extended Campuses students must pay by the start date of their first class. 

Deadlines for Coconino Community College (CCC) Classes

NAU students may enroll for Coconino Community College (CCC) "X" courses. CCC "X" courses may be done on the NAU campus during early, regular or on-line enrollment. CCC deadline dates apply to the CCC "X" classes which are different than NAU deadline dates. Beginning January 12, 2010 the first day of classes, the instructor’s approval signature is required on the course override form to add a CCC "X" course if the class is full. The add, drop/delete, and deadline to drop a course with a “W” grade are posted on the CCC website. ADDITIONAL ENROLLMENT INFORMATION

UNDERGRADUATE OVERLOAD POLICY - The maximum

STAMPS - Department stamps are intended to validate signatures. Anytime a signature is obtained to process an enrollment, drop/enroll, audit, petition, overload, override, etc., a stamp MUST be obtained from the corresponding department before the signature is valid.

Undergraduate course load is 19 units. Overloads (over 19 term units) can be carried only with the approval of the advisor. Overloads above 24 units in a single term will not be approved.

To enroll for an overload, students must submit the Unit Load Override Approval Form at the time of enrollment. Forms are available in the department, college/school offices, Registrar’s Office or at our website at: http://www.nau.edu/registrar and click on Forms.

GRADUATE OVERLOAD POLICY - The maximum graduate course load is 16 units. Overloads (over 16 units of graduate courses) can be carried only with the approval of the advisor. The maximum course load for a graduate assistant is 12 units.

To enroll for an overload, students must submit the Unit Load Override Approval Form at the time of enrollment. Forms are available in the department, college/school offices, Registrar’s Office or at our website at: http://www.nau.edu/registrar and click on Forms.

GRADUATION - The student’s academic advisor is responsible for checking to see if the student has fulfilled all of the degree requirements for graduation.

Clearance of Accounts - Degree candidates are required to clear any indebtedness to the University as a condition of certification for graduation.

Baccalaureate Degree - Candidates for a baccalaureate degree must apply for that degree with the Office of the Registrar during the first term of their senior year, one term prior to the term in which degree requirements are completed. Application for Graduation forms are available at our website at: http://www.nau.edu/registrar and click on Forms. Candidates who fail to file applications at the specified time may be scheduled for graduation at a later date.

Second Bachelor’s Degree - Students seeking a second Bachelor’s degree must complete at least 30 additional units and meet all requirements of the new degree.

Graduate Degree - Candidates for graduate degrees should apply for that degree during the term prior to that in which the degree will be awarded. Application for Graduation forms are available from the Graduate Office.

Students who have graduated and plan to continue their studies at NAU must re-apply for admission.

COURSE INFORMATION

Drop/Enrollment Caution

It is the responsibility of the individual student to initiate and finalize the dropping of a class on LOUIE or by filing the appropriate form with the Registrar’s Office by the published deadline. Errors often occur when students rely on verbal assurances that someone else will complete the process for them. Make sure you receive a new schedule/billing statement showing the correct status of your enrollment after each transaction. To avoid late payment fees or having your classes deleted, check the balance due on your schedule/billing statement.

Administrative Drop

All classes have enrollment limits that are caused by space limitations, equipment limitations, safety considerations, or some combination of the above. Absence from class sessions during the first week of classes may result in the student being administratively dropped* from the class** so that other students might enroll. If a student has not completed the prerequisites for a course as stated in the catalog, the department or instructor may request an administrative drop.
*At the discretion of the instructor. **Before the twenty-first day of the term.

Grade Replacement Policy

Undergraduate students may repeat, up to two times, courses in which a grade of D or F was earned with the approval of their academic advisor. Students must complete a Grade Replacement (Course Repeat) Form at the Registrar’s Office or at our website at http://www.nau.edu/registrar and click on Forms, which must be filed by the Deadline to Enroll of the term in which they are repeating the course. Courses taken outside of NAU cannot be used for grade replacement. Grades may be replaced up to 18 units and averaged over 18 units. Please see the current catalog for the complete grade replacement policy.

Classroom Participation

University policy requires that only appropriately enrolled students may participate in classroom instruction, use University facilities or make use of the professional time of faculty members. An appropriately enrolled student is one who has signed up for classes and paid enrollment fees. For participation in classroom activities, the student must be enrolled for that specific class.

Withdrawing From NAU

Withdrawing from any given term (fall, winter, spring, or summer) at NAU means reducing your course load to zero units only for that specific term. It does not necessarily denote an entire withdrawal from NAU. In most cases, students who withdraw from one term are eligible to enroll for the next term. Timelines (dates) for individual terms are published on the Enrollment Calendar at http://www.nau.edu/registrar.

  • LOUIE ON-LINE SERVICE:
    If you are enrolled and wish to withdraw from the term prior to the drop with a "W" deadline, you can officially withdraw using the on-line LOUIE system and no paperwork is necessary.
  • AFTER DROP WITH "W" DEADLINE:
    If you withdraw after the drop with a "W" deadline through the last day to officially withdraw from the university you will need to complete the NAU Withdrawal form. To locate this form, select the FORMS link at http://www.nau.edu/registrar. No additional documentation is required through the last day to officially withdraw from the university. You must submit your form to the Registrar's office in person, or fax it to (928)-523-1414, or mail to the Registrar's Office at P.O. Box 4103, Flagstaff, AZ 86011-4103.
  • AFTER UNIVERSITY WITHDRAWAL DEADLINE:
    If you withdraw from the university after the last day to officially withdraw you will need to complete the NAU withdrawal form. To locate this form, select the FORMS link at http://www.nau.edu/registrar. After the deadline to officially withdraw from the university, the student must provide supporting documentation to substantiate the reason for withdrawing after the deadline. You must submit your form and supporting documentation to the Registrar's Office in person, or fax it to (928)-523-1414, or mail to the Registrar's Office at P.O. Box 4103, Flagstaff, AZ 86011-4103.

Note: If you fail to officially withdraw, you may receive a grade of F in all of your classes and forfeit any or all deposits. Not attending courses for which you are enrolled does not constitute an official withdrawal nor does it constitute an official drop.
